New Employer Payroll Checklist

The basic information a new employer should organize before the first pay run.

Employer setup

  • CRA payroll program account information.
  • Pay frequency and regular pay dates.
  • Business bank and bookkeeping setup for payroll transactions.

Employee information

  • Legal name, address and required payroll information.
  • Employment start date, pay rate or salary and pay frequency.
  • Completed federal and provincial TD1 information where required.

Payroll policies

  • Vacation treatment and entitlement.
  • Benefits, taxable benefits or recurring deductions.
  • Overtime, statutory holiday and other pay rules applicable to the employment.

Year-end readiness

Keep employee and payroll records consistent throughout the year so T4 preparation and payroll reconciliation are easier at year-end.
